Bringing on a client meant collecting documents and moving them through several steps, and all of it ran on file shares, email and spreadsheets.

Each client sees only their own household's information. That rule is enforced in the database itself, not just hidden in the interface.
Staff request specific documents from each client, and clients upload them directly into private, encrypted storage.
Onboarding and underwriting are tracked like a mortgage process, with a plain-language status each client can see.
Email and text notifications go out as steps are completed or a client's action is needed.
Staff can ask questions about a client's documents. The assistant searches only that client's files, on an AI model that does not retain the data.
The portal has three roles. Clients see their own record, documents and onboarding status. Staff manage clients, documents and each step of the process. Administrators also see the full pipeline and manage users.
Existing clients can be imported in bulk, so the firm could bring its book of business into the portal rather than re-entering it by hand.
The MVP was delivered in under two weeks. The portal is live, clients are being onboarded in stages, and additional features are being added.
It runs on a Next.js application with a PostgreSQL database, secure file storage and database-level access control, email and text messaging, and a leading AI model under zero data retention.
